Overview
The Owner Entity feature allows you to define the legal and personal identity of each portfolio holder — either as a private Individual or as a registered Company. This distinction is essential for compliance, correspondence, and financial reporting within residential block management.
Why It Matters
In real-world block management, ownership structures vary significantly. A portfolio may be held by:
- A private individual (e.g. a buy-to-let landlord or a named leaseholder)
- A company (e.g. a property investment firm, a family holding company, or a residents' management company)
Previously, the platform treated all owners with a single, undifferentiated profile. From v0.7.0 onwards, each owner has a clearly typed entity record that captures the right information for their ownership type.
Owner Entity Types
Individual
Use this type when the portfolio holder is a natural person.
Typical fields include:
- Full legal name
- Contact details (email, phone)
- Correspondence address
Company
Use this type when the portfolio holder is a legally incorporated entity.
Typical fields include:
- Registered company name
- Company registration number
- Registered office address
- Contact details
How to Use
- Navigate to Owners in the platform sidebar.
- Select Add Owner (or edit an existing owner).
- Choose the Entity Type:
IndividualorCompany. - Complete the relevant profile fields for the selected type.
- Associate the owner entity with the relevant properties or blocks in your portfolio.
Portfolio Association
Once an owner entity is created, it can be linked to one or more properties or blocks. Both Individual and Company entities support full portfolio association — there is no difference in portfolio management capability between the two types.
Future Roadmap
The Owner Entity model is designed to support upcoming features, including:
- Companies House integration — automatic lookup and verification of company registration details.
- KYC / AML verification — identity verification flows for individual owners.
- Director and beneficial owner records — capturing the people behind company-held portfolios.
Notes
- Existing owner records are not affected by this release. All previously created owners remain valid and accessible.
- You can update an existing owner's entity type at any time from the owner profile page.
