Asset Condition Rating — Visual Timeline

The Asset Register includes a Timeline view that visualises every asset's projected replacement schedule, condition ratings, and associated CapEx in a single screen.

Switching to the Timeline View

Open the Assets section of the dashboard. In the top-right toolbar, next to the New Asset button, use the List / Timeline toggle:

  • List (default) — the standard tabular asset register.
  • Timeline — the visual replacement timeline.

All active filters carry over when you switch views:

Timeline Layout

Condition Rating Distribution

At the top of the timeline, a colour-coded horizontal bar chart shows the breakdown of condition ratings across all assets currently in view. Segments are sized proportionally and labelled with asset counts.

The condition legend below the chart maps each rating to its label:

Summary Cards

Three summary cards appear below the distribution chart:

  • Overdue Replacements — count of assets whose projected replacement year is in the past. Displays in red when non-zero.
  • Next 5 Years — count of assets due for replacement from the current year through to the current year + 5.
  • 5-Year CapEx Estimate — sum of estimated replacement costs for assets due in the next 5 years.

Year-by-Year Timeline

Assets are grouped by their effective replacement year (manual override takes precedence over the projected year). Years are sorted in ascending order.

Each year group shows:

  • A year marker on the timeline spine, colour-coded by urgency:
    • Red with a warning icon — overdue
    • Amber with a clock icon — current year
    • Primary blue with a calendar icon — near-term (within 5 years)
    • Grey — further future
  • The year label, asset count, total cost for that year, and an early-replacement badge if any asset in the group is flagged.

Asset Rows

Each asset within a year group is displayed as a clickable row containing:

Click any asset row to navigate to the asset detail view.

Unscheduled Assets

Assets with no projected or manual replacement year appear in a separate Assets Without Replacement Date section below the main timeline. To include them on the timeline, open the asset detail view and add an install date and estimated lifespan in years.

Condition Rating Scale Reference

Condition ratings are set on each individual asset record and updated after each inspection.

Ratings 1 and 2 automatically trigger the early replacement flag, which is visually emphasised in the timeline with a red row border, background tint, and warning icon.

Manual Replacement Year Override

If a manual replacement year has been set on an asset (overriding the calculated projection), the timeline uses that year and labels the asset row with an overridden indicator. The distribution charts and CapEx totals reflect the overridden date.

Empty States

  • No assets match the current filters — the timeline shows an empty-state message with guidance to adjust filters or create assets.
  • No assets have a replacement year — the year-by-year section prompts users to add install dates and lifespan estimates to generate projections.
