Applicant Email Correction & eSigning Re-issuance

Applicant Email Correction & eSigning Re-issuance

Agents can correct a lead applicant's email address at any point during the tenancy process — including after a tenancy agreement has been sent for eSigning. When an email is updated, the platform automatically cancels any outstanding Signable envelopes and voids collected signatures, allowing the agent to re-issue cleanly.

How to Correct an Applicant's Email

  1. Open the offer and navigate to the Applicant Referencing section.
  2. Locate the applicant whose email needs to be corrected.
  3. Click the pencil icon next to the applicant's email address, or open the three-dot menu and select Edit Email Address.
  4. Review the eSigning Impact warning in the modal — if a tenancy agreement is outstanding, all active eSigning envelopes for this applicant will be cancelled and all collected signatures voided.
  5. Enter the corrected email address in the New Email Address field.
  6. Click Update Email to confirm.
  7. The modal will confirm success and show how many eSigning envelopes were cancelled.

Note: If the submitted email is identical to the current email, no changes are made and the modal closes without any action.

Re-issuing eSigning After an Email Correction

Envelopes are not automatically re-issued after an email correction. This is intentional — re-issuance is a deliberate agent action.

After correcting the email:

  1. Navigate to the tenancy's Documents tab.
  2. Use the eSigning re-issue action to dispatch a new envelope.
  3. The new envelope will use the corrected signer email.

eSigning Impact

When an email is corrected and active Signable envelopes exist:

  • Each active envelope is cancelled via the Signable API.
  • All signatures collected on those envelopes are voided (multi-party reset).
  • Local envelope records are updated to cancelled status.
  • Active eSigning tasks are invalidated.

This ensures no envelope is in flight with an incorrect signer address.

Audit Trail

Every email correction produces a full audit trail:

Audit EventWhen Emitted
applicant.email_correctedOnce per correction — includes old email, new email, and count of cancelled envelopes
esigning.envelope_cancelled_email_changeOnce per cancelled envelope
esigning.signer_email_updatedOnce per signer record updated (emitted by background job)
applicant.email_updatedShell audit log entry

Menu Availability

The three-dot applicant menu is now always visible for every applicant row, regardless of whether Blinc-UK referencing is configured for your organisation. The Edit Email Address option is always available. The Reference Applicant option only appears when Blinc-UK referencing is configured.
